Create a property record before the route changes hands
A pool property record should distinguish each pool or spa, explain authorized access, locate equipment and preserve observations from previous visits. This checklist supports preparation and documentation. It does not prescribe chemistry, dosing, electrical work or pool operating decisions.
Identify the site and each body of water
Use an unambiguous name for each pool or spa. Avoid mixing observations from different bodies of water in one unlabeled note.
- Property name, address and authorized contact.
- Pool or spa identifier and how to recognize it on the property.
- Service scope and customer-approved access arrangements.
- Pets, occupied areas and any access restrictions.
- Location of the equipment area and permitted supply storage.
Record equipment and visible conditions
Capture the details a replacement technician needs to find the right equipment. Do not operate unfamiliar equipment just to complete the record.
- Equipment labels or model information visible without unsafe access.
- Overview photo showing equipment layout, when permitted.
- Owner-supplied instructions and where approved manuals are kept.
- Observed changes, leaks or unusual conditions to report through the company process.
- Any equipment area that could not be accessed and why.
Close the visit with a usable handoff
Keep readings and treatments in the pool-service log your business uses, clearly labeled by date, time and pool. In the site record, note changes that affect the next visit and reference that log. Follow applicable operator requirements and manufacturer instructions.
- Date and pool identifier for the observation.
- What was completed and anything outside the agreed scope.
- Concern reported, authorized contact and next action.
- Preparation or access detail the next technician should confirm.
Illustrative handoff
“North courtyard pool: equipment enclosure was locked at arrival. Contact notified; access is being arranged. No equipment inspection completed. Confirm access before the replacement technician leaves.” This is more useful than an unexplained “could not finish” message.
