Commercial cleaning site walkthrough checklist

Capture cleaning scope by room, surfaces, access, supplies and exceptions, then hand the walkthrough record to the working crew.

Turn a walkthrough into instructions the crew can use

A commercial cleaning walkthrough should establish what is included, where it happens, how often it is required and which restrictions affect the work. Record the agreed scope and unresolved questions separately so a proposal assumption does not become an unapproved crew instruction.

Start with the building and the working window

Confirm the operational details with the authorized client contact.

  • Building name, address, floors and areas included in the walkthrough.
  • Occupied hours, permitted cleaning windows and quiet areas.
  • Authorized entry, badge process, loading and storage access.
  • Rooms excluded, restricted areas and contact for access problems.

Walk room by room

Use the same area names in the quote and the crew instructions. Capture counts and conditions that affect scope without promising a labor estimate from this checklist alone.

  • Area name, surface types and visible condition.
  • Included tasks and required frequency for that area.
  • Restroom fixtures, waste stations and other relevant quantities.
  • Periodic work listed separately from each-visit work.
  • Sensitive surfaces and approved care instructions to obtain from the client.
  • Photos of agreed areas where permitted.

Resolve supplies and responsibility

Record who provides equipment, consumables and storage. Document the disposal route and any restrictions that change preparation. For chemical handling and surface compatibility, use approved product instructions and your company procedure.

  • Client-supplied versus crew-supplied items.
  • Storage room, water access and approved equipment route.
  • How quality concerns are reported and reviewed.
  • Questions requiring client confirmation before work begins.

Hand off the approved scope

Once the client confirms the scope, give the crew the area list, standing instructions and exceptions. Illustrative example: “Meeting room A is serviced only when vacant; report an occupied room to the supervisor rather than marking it completed.” After the first visit, correct anything the walkthrough missed.
